Summary:
Under general supervision, performs administrative assistance and clerical duties required within the operational requirements of the Municipal Court.
Essential Functions:

schedules trial, pre-trial and arraignment dates.
Prepares and maintains paper and electronic files.
Facilitates court hearings by preparing necessary documents for the Municipal Judge, Attorney, defendants, and victims and by monitoring court recordings and courtroom traffic.
Records dispositions of cases and disseminates information to necessary parties in each case.
Prepares and processes new or received motions, waivers, plea forms, complaint forms, and bonds.
Prepares convictions report and records weekly with the Colorado Department of Motor Vehicles.
Acts as first point of contact in the Municipal Court.
Responds to questions regarding Municipal Court procedures in person, by telephone, or in correspondence from a wide variety of sources.
Interacts with other agencies regarding municipal court cases.
Prepares a variety of materials including letters, memoranda, warrants, summonses, and other office correspondence.
Processes record sealings and expungements in a timely and efficient manner according to state governance.
Places accounts with collections companies as ordered, responds to collections inquiries, and maintains statistical data regarding collection results.
Maintains court records both in electronic format through Incode court software and in paper format.
Prepares subpoenas and notifies prospective jurors, defendants & witnesses of upcoming trial dates.
Processes and records witness and jury fee payments.
Records fine, fee, bond, and restitution payments.
Processes and records all court payments, including but not limited to witness and jury fee payments, fine payments, restitution payments, and bond payments.
Daily updates of court payments and receipts in court computer system.
Maintains daily supervision for the courts escrow and pass-through accounts (bail bonds, restitution, overpayments, etc.
) Ensures timely and accurate distribution of funds in coordination with the City Finance department.
Completes daily cash and online payment reports.
Issues and recalls bench warrants as directed.
Imports and exports citation information daily from BRAZOS electronic ticketing system.
Audits citation imports on a daily basis to ensure record accuracy.
Daily receives and processes mail directed to the municipal court, including mailed payments and municipal court inquiries.
Provides backup support to the Customer Service Unit as needed, cross trains with Municipal Court Supervisor.
May be required to work overtime.
Qualifications:
Minimum Education and
Experience:
High school diploma or equivalent; four years' progressively responsible customer service or administrative support experience.
Previous experience working in a court or legal environment desirable.
Equivalent combinations of education and experience may be considered.
Knowledge, Skills, and Abilities:
Knowledge of the policies, procedures, and goals of the division.
Knowledge of general office practices and procedures.
Knowledge of math, spelling, grammar, punctuation, and vocabulary.
Skill in organizing and managing multiple and competing tasks.
Skill in the operation of standard office machines such as multi-line telephone, copiers, fax machine, calculators, and audio/visual equipment.
Skill in using standard computer equipment and software including word processing, data base management, spreadsheet applications and electronic mail.
Ability to work collaboratively in a team-oriented work environment.
Ability to work under minimal supervision and exercise independent judgment with individual responsibility for accuracy, timeliness, completeness and assuring proper quality control.
Ability to provide a high level of quality customer service to a diverse client base.
Ability to solve problems and respond with tact, composure, and courtesy even when encountering contentious circumstances and assisting individuals who may be experiencing significant stress.

Licensing/Certification Requirements:
Notary Public for the State of Colorado Membership with Colorado Association for Municipal Court Administration Valid Colorado driver's license Physical and Mental Requirements:
While performing the duties of this job, the employee is required to sit for prolonged periods.
The employee is regularly required to see, hear, talk, stand, twist, and use repetitive motions in the conduct of work.
The employee is required to exercise visual concentration for extended periods of time.
The employee is required to focus attention on tasks without losing concentration or becoming distracted by surrounding activities and interruptions.
The employee is also required to perform kneeling, squatting, and pushing, pulling, and lifting up to 25 pounds.
Work Environment:
Work is performed in an office setting.
The City of Evans conducts pre-employment physical exams, drug testing, and background investigations as a condition of employment.
A positive drug screen test for marijuana will disqualify a candidate from being considered for employment, regardless of whether the use is recreational or medical (red card).
